DEFINITION

What is an AI employee?

An AI employee is a software worker hired into a defined business role, with its own responsibilities, tools, permissions and goals. Unlike a chatbot that answers questions, an AI employee carries out ongoing work across company apps and channels, and reports on what it did and the value it produced.

How it works

An AI employee starts with a job description, not a prompt. The organization defines the role, the areas it owns, the apps it may use and the results it should report. The AI employee then works inside those limits every day: reading email, updating records, drafting documents, scheduling meetings and following up.

It keeps context between tasks, so a request on Monday still informs a follow-up on Friday. A manager reviews its output, adjusts its permissions and judges it on outcomes, much like any new hire.

Examples

A sales team might hire an AI sales development rep to research accounts, write first-touch emails and book meetings for account executives. A support team might hire one to triage the shared inbox, tag cases and draft replies for review. A finance team might hire one to chase overdue invoices and prepare month-end checklists.

In each case the AI employee owns a recurring slice of work, uses the same systems as the people around it and reports measurable results such as meetings set or cases closed.

How it differs from a chatbot

A chatbot waits for a question and returns an answer. Its job ends when the conversation ends. An AI employee has standing responsibilities, so it acts on schedules, triggers and incoming messages without being asked each time.

It also connects to business systems with scoped access, keeps memory of the people it works with and is accountable for results. That accountability is the key difference. Buyers evaluate a chatbot on answer quality, and they evaluate an AI employee on the work it completes and the value it creates.

Questions

Is an AI employee the same as a virtual assistant?

Not quite. A virtual assistant usually handles one-off requests as they come in. An AI employee is hired into a defined role with standing responsibilities, connected tools and goals. It acts on its own schedule within set permissions and is measured on outcomes, such as meetings booked or tickets resolved, rather than on individual answers.

Does an AI employee replace human staff?

It usually takes over repetitive, high-volume work inside a role, such as inbox triage, data entry, follow-ups and reporting. People keep the judgment calls, relationships and approvals. Most teams use AI employees to give existing staff more capacity rather than to remove the human owner of a function.
